Cancellation & Rescheduling Policy

At The Biology Academy, lesson times are reserved specifically for each student. This policy helps ensure that appointments can be managed fairly and that time allocated for teaching is protected.
1. One-to-One Lessons
Cancelling or rescheduling with more than 24 hours' notice
If you need to cancel or reschedule a one-to-one lesson, please provide at least 24 hours' notice.
Where sufficient notice is provided, you may:
Reschedule the lesson to another mutually convenient time; or
Receive a refund where applicable.
For students purchasing a lesson package, the cancelled lesson will not be deducted from the package provided sufficient notice is given.
Cancelling with less than 24 hours' notice
Cancellations made with less than 24 hours' notice will normally be charged at the full lesson rate.
For students using a lesson package, the lesson will normally be counted as one of the lessons in the package.
This is because the lesson time has been reserved specifically for the student and may not be possible to offer to another student at short notice.
Non-attendance
If a student does not attend a scheduled lesson and no prior notice has been given, the lesson will normally be charged in full.
If the student is unable to attend because of an unexpected or exceptional circumstance, please get in touch as soon as possible. I will consider the circumstances and use reasonable discretion where appropriate.
2. Introductory Lessons
Introductory lessons are offered at a reduced rate to allow students and parents to experience The Biology Academy before committing to ongoing tuition.
If you need to cancel or reschedule an introductory lesson, please provide at least 24 hours' notice.
Where sufficient notice is provided, the lesson can be rescheduled.
Cancellations made with less than 24 hours' notice may result in the introductory lesson fee being retained.
3. Group Sessions
Group sessions are scheduled at specific dates and times, with places limited to ensure that students receive a focused learning experience.
More than 48 hours' notice
If you cancel a group session booking with at least 48 hours' notice, you may request:
A transfer to another available session; or
A refund, where applicable.
Less than 48 hours' notice
Cancellations made with less than 48 hours' notice will normally be non-refundable.
This is because your place has been reserved and the opportunity to offer that place to another student may have been lost.
If an exceptional circumstance prevents attendance, please contact The Biology Academy as soon as possible. Each situation will be considered on a case-by-case basis.
4. Lesson Packages
Lesson packages are intended for students committing to ongoing tuition.
If a student needs to reschedule an individual lesson within a package, the usual 24-hour cancellation policy applies.
Packages are not normally refundable once lessons have commenced, except where required by law or where The Biology Academy agrees otherwise.
Any unused lessons should normally be completed within the agreed package period.
5. If The Biology Academy Cancels a Lesson
Occasionally, it may be necessary for The Biology Academy to cancel or reschedule a lesson.
If this happens, you will be offered:
An alternative lesson time; or
A full refund for the cancelled lesson, where applicable.
No student will lose a lesson because The Biology Academy has had to cancel.
6. Technical Problems
Lessons are delivered online using Google Meet.
If a technical problem prevents a lesson from taking place, reasonable efforts will be made to resolve the issue.
If a significant technical problem prevents the lesson from being delivered, the lesson will be rescheduled or, where appropriate, the affected portion of the lesson will be rearranged.
Students are responsible for ensuring they have a suitable internet connection and device for their lesson.
7. Exceptional Circumstances
I understand that unexpected circumstances can arise.
Illness, emergencies and other exceptional circumstances will be considered on a case-by-case basis.
If something unexpected happens, please contact me as soon as possible rather than simply missing the lesson.
The Biology Academy reserves the right to use reasonable discretion when applying this policy.
8. How to Cancel or Reschedule

Student name
Date and time of the lesson
Whether you wish to cancel or reschedule
Any relevant information about the cancellation
The time at which your cancellation message is received will be used when determining whether the required notice period has been met.
